Privacy Policy
Last updated September 2026
This policy explains what Reformer Collective Ltd does with your personal information, why, and what you can ask us to do about it. It covers this website, our booking system and our studios.
We are the data controller. If you want to ask us anything about this policy, or exercise any of the rights below, email hello@reformercollective.co.uk.
What we collect, and why
When you book or buy. Your name, email address, phone number, date of birth and payment details, plus your booking and attendance history. We need this to take a booking, take payment, let you into a class and administer memberships and class packs. Bookings and payments are handled by Mariana Tek, our booking platform, and card details are processed by their payment provider — we never see or store your full card number.
Health information you choose to give us. Injuries, pregnancy, or medical conditions you tell an instructor or enter when booking. This is special category data under UK GDPR. We use it only to keep you safe in class, and we rely on your explicit consent — you can decline to give it, and you can ask us to delete it at any time.
When you contact us. Whatever you put in an email or a contact form, so we can reply.
When you use this website. Essential cookies that make booking work, and — only if you agree — analytics that tell us which pages people use. See our cookie policy. You can say no to analytics and the site still works.
Marketing, if you opt in. Your email address, so we can send you class news and offers. Every email has an unsubscribe link, and using it takes effect immediately.
Our lawful bases
We rely on contract for bookings, payments and memberships — we cannot provide the class without it. On consent for marketing, analytics cookies and any health information. On legitimate interests for keeping our studios safe and secure, preventing fraud, and improving what we offer — balanced against your rights each time. And on legal obligation for accounting and tax records.
Who we share it with
We share personal information only with organisations that help us run the business, and only what they need:
- Mariana Tek — our booking and membership platform
- Payment processors — to take payment securely
- Email providers — to send booking confirmations and, if you opted in, marketing
- Our accountants and professional advisers, where they need it
We do not sell your personal information, and we never share it for someone else’s marketing.
Some of these providers are based outside the UK. Where information is transferred, we rely on UK adequacy regulations or the International Data Transfer Agreement to keep it protected to the same standard.
How long we keep it
Booking and account records are kept for as long as you have an account with us, and for six years after your last transaction so we can meet our accounting and tax obligations. Marketing consent is kept until you withdraw it. Health information is deleted when you ask, or when your account closes. Contact-form messages are kept for two years.
Your rights
Under UK GDPR you can ask us to give you a copy of your information, correct it if it is wrong, delete it, restrict how we use it, or send it to another provider. You can object to us using it for legitimate interests, and you can withdraw consent at any time — for marketing, analytics or health information — without affecting anything we did before you withdrew it.
Email hello@reformercollective.co.uk and we will respond within one month.
If you are unhappy with how we have handled your information you can complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113. We would rather you came to us first so we can put it right.
Security
We use appropriate technical and organisational measures to protect your information, including encrypted connections, access controls, and providers who meet recognised security standards. No system is perfect, but if a breach ever put your rights at risk we would tell you and the ICO as the law requires.
Children
Our classes have a minimum age of 16, and 18 for Dynamic and Bounce. We do not knowingly collect information about anyone younger.
Changes
If we change this policy we will update the date at the top of this page. Where a change materially affects your rights we will tell you directly.
